I hope you are keeping well and enjoyed the brief moment of Spring weather a couple of days ago.
The agenda for the next Committee meeting is here.
Following the discussion at the last meeting we have an Updates Slide deck to capture the key developments in all of the activities we are involved* in. Please add any information you are aware of, in particular for forthcoming events, details on how the new booking system has worked for the various classes or things that are brewing as we move towards Spring.
*If you are not directly involved in anything please take a look through the slides and consider adding your name to something. It helps a lot to take some of the work off others.
We are due to send out the Sports Hinx mail early next week, it would be good to have 3-4 key items to promote alongside the regular activities. It’s difficult to get people enthusiastic when it’s cold and wet but if there is something happening in the Sports Hall that would be good to focus on. If you could reply to this email we can build it up over the next day or two

Happy New Year, I hope you had a relaxing break and that the return to work doesn’t make it feel like too distant a memory.
We have a Committee meeting on Wednesday (Midday). It will be in the Sawston Room (EBI South) and on-line as usual, it would be great to have you join us.
The agenda is available here. There are lots of exciting things for 2024, and a few things of the other sort! (But all the more important for being boring and uninteresting… like the Constitution. If you would like the GCSSC to still exist by Christmas please take 10-15 minutes to read it through, add any comments or identify any gaps that might come back to bite us.)

A quick reminder of the Committee meeting, the agenda is here
You’ll notice the agenda is a slightly different format from previously. Notes from the meeting will be added to the third column alongside the agenda item itself, together with any actions arising. I would encourage everyone to have this document open during the meeting to add make sure the notes are complete* especially if it directly concerns you.
The main items for discussion are around the constitutional changes. There is a new version of the Constitution that is still under consideration. The current hope is for the Committee to agree to a final version in January so at some point it would be good for everyone to read through and add any comments. (It’s only 5 pages long, half a page is the table of contents, so it shouldn’t take that long!)

* Complete Notes does not mean verbatim report of the discussion, it means we capture the key points, decisions and outcomes.
Also a Complete Discussion does not mean a long one, it means one that achieves something (eg. A decision or Action, even if that Action is further discussion!)

This is to follow on from the meeting yesterday. Firstly I apologise for being late and for the complications with Zoom, we’ll make sure all the details are available in future.
I appreciate this email is a bit long, please take a moment to read it through and pick up the questions at the end.
We discussed two connected proposals:
1. Change the classes so that people booked directly with the trainers rather than GCSSC, and payments also went straight to them rather than us paying the trainer a flat fee.
2. To remove GCSSC / Joint membership
a. To be discussed at AGM (end Jan)
b. Classes are discounted for members.
Ideally we would change the class booking approach at the start of January - before the decision to change GCSSC membership. The only problem I can see is that members currently pay £3 less for each session. Trainers will need to know who is a member for this to continue.
As an interim measure (until such time as the membership changes come into effect):
1. Attendees book directly with the trainer and identify whether they are GCSSC member
2. Trainer charges them the subsidised rate*
3. Trainer sends us a list of people who have claimed membership rates
4. GCSSC pays the trainer £3 per member who attends the class
*The trainer might wish to change their rates, our contribution remains at £3 per person per session. (We are currently subsidising all classes by considerably more than this.)

Next steps:
1. Discuss these new arrangements with each Trainer (next two weeks)
2. Announce the changes in a Hinx email (early Dec)

Possible date for AGM:
1. Mid-week lunchtimes are probably the least-worst option
• There is no perfect time that works for everyone
2. Our Constitution requires 3 weeks notice
• We could announce it in the email mentioned above

b. Tues 30th Jan
c. Wed 31st Jan
d. Thurs 1st Feb
Questions:
1. Is there any other reason why we can’t change the class bookings in January, ahead of the AHM?
2. Should we run a doodle poll across the Committee for a date for AGM ? (Or pick just pick one)
